Payment type mapping with Square + Xero integration

Overview

  • The integration has a default set of accounts that are automatically created and mapped using the Express Setup.
  • You may customise the mapping and map existing Xero accounts using the Advanced Setup.

How it works

Proceeding with Express Setup (without the Advanced Features ticked), the integration will automatically create and map the following default set of accounts to the Square payment types.

Set up using Amaka’s default accounts

If you want to set up your integration with Amaka’s default accounts, please follow the steps below:

  1. Open the integration settings.

  2. On the left navigation panel, click Features.

  3. Untick the Advanced Features option and make sure the Sales Sync is active.

  4. Click Save + Continue and a pop-up message will appear.

  5. If you agree with the default accounts creation, click Continue and the integration will start creating the accounts for you.

Continue with the rest of the mapping to finish the setup. If you want to view the payment type mapping, follow the steps below from 2-5 and then click Payment Types from the left navigation panel.

Set up using custom account mapping

You can customise the payment type mapping and use your own set of accounts.

  1. Open the integration settings.

  2. On the left navigation panel, click Features.

  3. Tick the Advanced Features option and make sure the Sales Sync is active.

  4. Click Save + Continue and a pop-up message will appear.

  5. Click Continue and the Square Payments clearing account will be created. This is the only account that will be created when you proceed with the Advanced Features.

  6. Set up the General and Account settings.

  7. Click the dropdown to map the appropriate Xero account for each payment type. The accounts shown in the dropdown are filtered to avoid incorrect mapping and complexity. Only accounts with ticked Enable Payments to this Account will be shown on the dropdown options.

  8. Click Save + Continue.

If you need a guide in setting up your own accounts in Xero, please refer to the default accounts table. Make sure that you set the correct account type in Xero so they will appear on the dropdown options.
